What is the Receipt Hub?

The Receipt Hub is BuilderDash's receipt capture tool. You capture a supplier receipt, AI reads the supplier, date and VAT, you confirm which job it belongs to, and it is pushed to Xero as a draft bill with the file attached. It is built into the job management software, so every receipt cost lands on the right project's profit.

Can I capture receipts on my phone?

Yes. On the mobile app your team can snap a receipt on site the moment they pay for materials. Uploads run on a background queue that persists and retries, so a poor signal on site never loses a receipt. Confirming the details happens back in the office on the web.

Can I forward receipts by email?

Yes. Forward a receipt to your workspace's receipts address and each attachment becomes its own receipt. You get a reply confirming it arrived, a note if it was a duplicate you had already sent, and a warning if it came from an address that is not allowed - so a forward never fails silently.

Does it read the VAT correctly?

AI reads the net, VAT and gross, and the VAT is pushed to Xero verbatim rather than recalculated, so awkward figures (rounding, delivery, mixed rates) still land correctly. If a receipt mixes VAT rates or categories you can itemise it into lines, each with its own VAT code, and each line is pushed to Xero separately.

How does it work with Xero?

Once you confirm a receipt it is pushed to Xero as a draft bill with the original file attached and the project number written to the bill reference. It is always a draft - you review and approve it in Xero - and if a push ever fails the receipt is kept safe with a retry action.

Do captured receipts show on a job's profit?

Yes. Confirmed receipt costs count towards a project's supplier spend, so a job's gross profit reflects invoiced revenue minus labour from timesheets minus supplier costs from bills and receipts - the true picture, not a guess.

Who can capture receipts?

Everyone, by default. The Receipt Hub is switched on for all users on the web and the mobile app, so whoever pays for the materials captures the receipt. You can turn it off per person in Team settings. Confirming a receipt and pushing it to Xero needs the confirm permission, so field workers capture on site while the office confirms.

Can I see who uploaded a receipt and when?

Yes. The Activity view is an upload log of every receipt - the date and time, who uploaded it, how (web, email or mobile), the file, the amount and its status - newest first and searchable by file, supplier or person. Click any row to open the receipt.

Do I have to split every receipt into line items?

No. Every receipt defaults to a single whole-invoice total with one category and one VAT code, which is all most receipts need. If a receipt mixes VAT rates or categories you can choose to itemise it into lines, but it is never forced - even a long receipt stays on the single total unless you split it.
