Why a Live Snagging Register Matters Before Practical Completion

Snagging only looks simple when the list is short.
Once a job reaches practical completion, the real problem is not the individual snag items. It is the fact that those items are often scattered across screenshots, WhatsApp messages, site photos, email replies, and someone’s memory of what was agreed last week.

A useful snagging register does not need to be complicated. It needs to answer the questions people actually ask on site and in the office.
At minimum, each entry should show:

- the exact location
- the trade, package, or subcontractor responsible
- the owner of the next action
- the current status
- the target date for closeout
- photo or note evidence
- any related instruction, variation, or client comment
- the person who confirmed it was closed
If a snag cannot be tied back to a location and an owner, it is not really managed. It is just remembered.
Be precise about location
Location is where most snagging records fall apart.
On a fit-out, "third floor" is not enough. On a housing job, "plot 12" may still be too broad if several rooms are being finished at once. On a maintenance project, "air handling unit" may need an asset number as well as the plant room.
The best snag record is specific enough that someone else can find the item without a follow-up call.
Useful location details include:
- floor
- room
- unit
- zone
- gridline
- elevation
- asset or plant reference
The more precise the location, the faster the right person can close the item.
Separate open items from closed items
A snag register should make the status obvious at a glance.
That means the team should be able to see:
- what is open
- what is waiting on another trade
- what is waiting on materials
- what is blocked by access
- what is closed and signed off
If open and closed items are mixed together without structure, people start repeating checks that should have been obvious. Someone reopens a closed item because the evidence was not easy to find. Someone else signs off a snag because they assumed the photo meant it was already done.
The register should reduce that uncertainty, not add to it.
Use target dates that mean something
Snagging dates should not be decorative.
If the target date is meaningless, the register becomes a list of wishes. If the date is realistic and linked to the programme, it becomes a working control.
Good closeout dates usually depend on one of three things:
- access to finish the work
- materials or parts arriving
- a formal inspection or sign-off
For that reason, the register should show both the due date and any blocker. If the item is late because the room is still occupied, that matters. If the item is waiting on a specialist return visit, that matters too.
Keep snags separate from changes
Not every outstanding item is a snag.
Some items are genuine defects. Others are late design decisions, client changes, or scope issues that belong in the variation trail. If those get mixed together, nobody can tell whether the business is closing defects or arguing over scope.
A live register should help the team distinguish between:
- a defect to be corrected
- a snag to be finished
- a variation that changes the scope
- a query that needs a decision before work continues
That separation matters because each item needs a different owner and a different route to closure.
Why practical completion depends on the register
Practical completion is not just a date in the programme. It is the point where the job is meant to be in a handover-ready state.
If the snag list is unreliable, practical completion becomes harder to defend and harder to manage. The team cannot tell whether the job is genuinely ready, whether the remaining items are minor, or whether something significant is still waiting in the background.

- what is still open
- who is responsible
- what evidence exists
- what is blocking closeout
- whether the item is really a snag or a separate instruction

What good closeout looks like
Closeout should not mean "someone said it was fine".

- the evidence is attached or linked
