Activity log & notes

Every important record in BuilderDash keeps a running History & notes trail, recording what happened and when. You can add your own notes to it too, giving your whole team one shared place to see what's going on.

Enquiries, jobs, contacts, quotes, invoices and supplier requests all keep a History & notes trail. It records what's happened on that record, so you can see the full story at a glance without having to ask around. You can add your own notes to the same trail, so everyone reads from one shared source of truth.

How to add a note

  1. Open the record you want - for example an enquiry, a job or a contact.
  2. Find the History & notes section on the record, which shows a count of how many entries it has.
  3. Select Add note.
  4. Type your note in the box that appears.
  5. Select Save note. Your note is added to the top of the trail straight away, stamped with the date, time and your name. Select Cancel instead if you change your mind.

How to read the history

Scroll the list to read through it. Each row shows the date and time, who it was (or System Generated for automatic entries), the type of activity, and the detail. The newest entries always sit at the top.

Good to know

  • A note is just one kind of entry in the trail - it sits alongside everything else that's happened to the record.
  • Plenty of entries are logged automatically as you work, for example when a record is created, edited, or its status changes. You don't need to do anything for these to appear.
  • Automatic entries that aren't tied to a person show as System Generated, in italics, so it's clear no one typed them by hand.
  • Every entry is labelled by type - for example Note, Created, Status changed, Edited, Task completed, File uploaded, Invoice issued or Quote accepted - so you can scan the trail quickly.
  • The same History & notes trail works the same way across enquiries, jobs, contacts, quotes, invoices and supplier requests.
  • A note is the history detail itself - there's no separate notes area hidden elsewhere.

Common questions

Can I edit or delete a note once I've added it?
No. Entries can't be edited or deleted, including your own notes. If something needs correcting, add a new note explaining it instead.
What does 'System Generated' mean in the history?
It means the entry was logged automatically, such as when a record is created or its status changes, rather than typed by a person.
Does every record type have a History & notes trail?
Yes. Enquiries, jobs, contacts, quotes, invoices and supplier requests all have the same History & notes trail, working the same way on each.
Can I attach a photo or file to a note?
Not directly. Notes are plain text only - you can upload files and photos separately on records that support it.
