The Schedule shows your people down the side and the days of the week across the top, so you can see everyone's week at a glance and fill in the gaps. A task is what needs doing; the schedule is when it happens and who's on it. It's deliberately straightforward - a week board you can drag things around on, rather than a heavy project-planning tool.
How to schedule a task
- Open Jobs > Schedule. You'll see a grid with each person as a row and each day as a column. Field workers are listed first, since they're usually who you're scheduling, followed by office staff.
- Drag a task from the backlog (your unscheduled tasks) onto someone's day. It drops straight into that person's slot for that day.
- Or click a day to open the assign panel, where you can pick a task from the backlog, or create a brand new one on the spot - give it a title, link it to a job, set the hours, and choose the person and day.
- Drag a scheduled task to a different day or person to move it, or remove it to send it back to the backlog.
- Use the week controls to move forward and plan ahead, or look back at previous weeks.
Once a task is scheduled and assigned, that person sees it in their tasks - and if they're a field worker, in the mobile app too - ready to mark complete on site.
Good to know
- The schedule and your job tasks are the same information shown in a different way - scheduling a task simply sets who it's assigned to and when, while it stays linked to its job.
- Each slot shows one assignee per task, so the board reads clearly as "this person, this day".
- The backlog is just the tasks that haven't been placed on the board yet. Scheduling one removes it from the backlog, and un-scheduling puts it straight back.
- Anyone in your workspace can be scheduled, field or office, though it's built around planning your field crews' weeks.
