Workspace settings is where you set the defaults that keep your business consistent across BuilderDash. From here you can see your business details, choose how jobs and quotes are numbered, decide how long a quote stays valid, write the standard terms that appear on every quote, and record each team member's hourly labour rate. These defaults carry through automatically to every new job, quote and time entry you create.
How to update your workspace settings
- Open Settings from the main menu.
- To change your job numbering, go to the References & numbering section and type your prefix into the Job prefix box (for example SCC, so new jobs read SCC-124), then click Save prefix.
- To set your quote start number, enter the number you want your next quote to begin from in the Quote start number box and click Save. New quotes are numbered upward from there, shown as QT- followed by the number.
- To set how long quotes stay valid, enter the number of days in the Quote validity (days) box and click Save. Every new quote is then given an expiry date that many days after it's created.
- To set your standard quote wording, type it into the Default quote footer / terms box (for example your VAT, validity and payment terms) and click Save default terms.
- To set a team member's labour rate, go to the Team & labour rates section, find the person, type their hourly rate into the £ / h box and click out of the box - it saves automatically.
Good to know
- Changes only affect new records. Updating the job prefix, quote start number, validity window or default terms never changes anything that already exists - existing job numbers, quote numbers, expiry dates and quote wording all stay exactly as they were.
- Numbering is per workspace, so your job and quote numbers run in their own sequence regardless of any other business using BuilderDash.
- New numbers always carry on from the highest number you've already used, even if you set a lower start number, so you'll never end up with a duplicate.
- Your default quote terms are a starting point - you can still edit the wording on any individual quote.
- Your quote validity setting is a default too - you can change the expiry date on any individual quote.
- Labour rates are snapshotted. When someone checks out of a job, their current hourly rate is captured on that time entry, so changing a rate later doesn't alter time already recorded.
- An owner or office user can update these settings. Other team members, such as field-based staff, can see the values but can't change them.
- Settings are organised into tabs, including one for your enquiry sources, plus separate tabs for quotes, invoices, purchase orders, your team, roles, templates, integrations and billing.
